Auction Chair/Committee – procure silent/live auction items

  • Recruit Auction committee members
  • Participate in the “Dreams Meeting”
  • Put a list together of items to obtain
  • Assign local business to be contacted (work with Ad Sales to prevent duplication of efforts)
  • Gift Gathering Party in January/February
  • What should guests be asked to bring? (Wine for wine cellar or baskets + wine accessories is an easy ask)
  • Assist with packaging items/putting baskets together
  • Week prior to Gala – organize and verify auction items

Grand Raffle

  • Recruit Grand Raffle committee members to sell tickets
  • Promote the raffle through emails, posters, and publicity
  • Send biweekly updates to sellers for 2 months leading up to Gala
  • Prizes and pricing will be the same as in 2011

Ad Sales

  • Recruit ad sales committee members
  • Compile a list of which local businesses to approach
  • Review with Auction Committee so the same businesses are not solicited by both committees separately

Attendance Committee

  • Main goal is to spread awareness with our current supports, the Board, and in the community
  • Promote the unique nature of the Gala location in an effort to fill every seat
  • Create a plan to fill the seats
  • Help to build enthusiasm for the event

Public Relations/Marketing/Check-in/Checkout

  • Design promotional material including save the date cards and invitations, raffle posters
  • Include on website and all promotional pieces the link to the event web page to follow the progress of the auction catalog/view all items as they come in
  • Prepare the auction book with descriptions of the prizes
  • Set up all functions for check-in and check-out of guests and auction on the day of event

Decorations

  • Develop ideas and determine cost for table centerpieces

All committees should meet as needed. Please communicate needs and coordinate efforts with staff and co-chairs.
